Team Members (Store Members)

What does it do?

The Store Members screen lets you manage your store with more than one person. By giving a person certain permissions, they participate in the management of your store under your control. At the top of the page you'll find the "Store Members" heading and the "Total {count} members" information.

Only the business owner can open this screen. Other users in your team see the message "This screen is only available to the business owner" when they visit this page.

Two ways to add a member

Both ways use the same permission matrix to choose which modules the person can read or write. The Manage team link at the top of the page takes you to the My Company → Team screen.

Permission types

You can give a member three separate permissions. You can choose any combination you want:

Tip: Give permissions according to need. For example, it's enough to give someone who will only do design just Theme Editor, and someone who will handle orders the Store Management permission.

Viewing and changing settings are separate permissions

On the store settings surface, read (viewing) and write (changing) are separate permissions. This distinction applies across all of these screens:

  • Store settings tabs and plugins
  • Delivery zones (countries and blocked cities)
  • Shipping pricing (default fee, automations, city-based rates)
  • Notification preferences
  • Currency settings, custom domain and authentication providers

When you grant the Store Settings permission, the member can both view and change all of these screens — so the behaviour in the table above is unchanged. This also applies to members who joined by invitation: a member without a store of their own can also open the delivery zones, shipping pricing, notification preferences and authentication providers screens.

A member who has been given view-only access can open and read the settings, but the page appears in read-only mode:

  • A notice headed "Read only" appears at the top of the page.
  • Save, Add and Delete buttons are disabled; hovering over them shows the hint "You do not have permission to change this setting".
  • Form fields stay readable and their contents can be copied; only saving is blocked.

ℹView-only access cannot be granted with the three checkboxes on the invite screen; it applies to the detailed permissions defined by an administrator.

Inviting a member

  1. Press the Invite by e-mail button. In the dialog that opens: "Invite a user to this store's management team."
  2. Type the address of the person you'll invite in the Email field (placeholder: user@example.com). If you leave it empty, the "Email address is required" warning appears.
  3. From the Permissions section, check the permissions you want to give.
  4. Press the Invite Member button. If successful, the "Invitation sent successfully" notification appears.

The invited person appears in the list with the Pending status until they accept their invitation.

Assigning from your team

  1. Press the Pick from my team button. In the dialog that opens: "Assign a user that belongs to your business to this store and set their permissions."
  2. Choose the person from the Team member list. Only team members not yet assigned to this store appear there.
  3. Pick a ready-made role template from the permission matrix, or tick the read/write boxes module by module.
  4. Press Add. If successful, the "Team member assigned to the store" notification appears and the person shows up in the list as Active.

ℹIf there is nobody to assign, the dialog shows "There is no team member available for this store. Create a user from My Company → Team first."

Pending invitations

Below the member list there is a "Pending invitations for this store" section. It shows invitations that were sent but not accepted yet, with the e-mail address and the Valid until date. Expired invitations show an Expired label instead of a date.

The Cancel invitation button withdraws an invitation; once you confirm, the "Invitation cancelled" notification appears and the invitation disappears from the list.

ℹAn accepted invitation cannot be cancelled. To take access away, use Remove Member in the member list.

Member list

If there are no members yet, the text "No members have been assigned to this store yet." appears. Members are listed in a single table; team members, invited staff and the business owner all appear together. In each row:

The business owner row

The business owner appears at the top of the list with the Owner label and the note "Business owner — full access". The owner's permissions cannot be changed from this screen and the owner cannot be removed from the store; the row says "The business owner permissions cannot be changed". This prevents you from accidentally locking yourself out of your own store.

Editing permissions

In the window that opens when you press the shield icon ("Update permissions for {name}."), you change the permission checkboxes and save. If successful, the "Permissions updated" notification appears.

Removing a member

When you press the trash can icon, a confirmation dialog opens:

  • Title: Remove Member
  • Description: "Are you sure you want to remove the member named {name} from this store?"

If you confirm, the "Member removed" notification appears.

Warning: Removing a member is an action that cannot be undone. The person you remove loses access to the store; to access it again, you need to invite them again. If you want to temporarily stop their access, instead of removing you can suspend the member with the Status toggle.

Frequently asked questions

I invited someone but the person appears as "Pending" in the list. This is normal. The person stays in the Pending status until they accept the invitation. When they accept, their status becomes Active.

Can I temporarily stop a member without deleting them? Yes. With the Status toggle on the row you can set the member to the Suspended status; later you can reactivate them with the same toggle.

What is the difference between "Team member" and "Invited staff"? A team member is a user you created from My Company → Team that belongs to your business; you decide their store permissions and manage their account there. Invited staff is an external user with their own account who joined by e-mail invitation; their account is not attached to you and they only get the store permissions you grant.

Why can't the person I picked from my team sign in? Newly created team members cannot use the panel until they verify their e-mail address. You'll see this warning next to their e-mail in the list. The person can request a verification code from the sign-in screen.

I can't remove the owner from the list. That is a deliberate protection. The business owner cannot be removed from the management of their own store; otherwise the store could be left with nobody who can access it.
