Shipping / Shipment (On the Order Detail)
You enter the carrier and tracking number on the order and click Ship Order; you update the shipment status by hand as it travels. The system does not…
Where to find: Order Detail → Shipping card Who it's for: Anyone who ships orders and tracks shipment status In short: You enter the carrier and tracking number on the order and click Ship Order; you update the shipment status by hand as it travels. The system does not track the carrier automatically.
What is the Shipping card?
On the order detail page there is a card titled Shipping. When you pack an order and hand it to the carrier, you create a shipment record here: you enter which carrier you sent it with and the tracking number you got from the carrier.
This section works manually. Treyza does not create a shipping label for you and does not automatically track the shipment from the carrier's system. You type the carrier and tracking number yourself, and you update the status (on its way, delivered, etc.) yourself. The Track button only opens the carrier's own tracking page.
This page covers only the Shipping card. For changing the order status by hand, taking payment, refunds, and cancellation, see Order Operations (Status, Payment, Return, Cancellation, E-Invoice).
1. Creating a new shipment (Ship Order)
- On the order detail, click the Ship Order button at the top right of the Shipping card.
- The Ship Order window opens. Fill in the fields (table below).
- Press the Ship Order button at the bottom. A "Shipment created" notification appears.
Fields in the window
| Field | Required? | What to enter |
|---|---|---|
| Carrier | Yes | Pick the carrier from the list: Yurtiçi Kargo, Aras Kargo, MNG Kargo, PTT Kargo, HepsiJET, Süralp, or Other. |
| Tracking number | Yes | The tracking/shipment number you got from the carrier. |
| Parcel count | No | How many boxes you sent (if more than one). |
| Shipping cost | No | The shipping fee you paid for the shipment. |
| Weight (kg) | No | The weight of the shipment. |
| Desi | No | Volumetric weight (desi). |
| Barcode | No | The barcode the carrier gave you (if any). |
| Label URL | No | If you already have a link to a shipping label (PDF), paste it here. |
Only Carrier and Tracking number are required. You can leave the other fields empty.
You can add more than one shipment to an order (e.g. if you sent the products in two separate boxes). Each shipment is listed as its own box in the card.
2. Before shipping: which orders can be shipped?
Some orders cannot have a shipment added. When you click Ship Order, you get a warning in these cases:
| Order status | What happens? |
|---|---|
| Payment not approved (Pending / Processing / Payment Failed) | Cannot add — the order's payment isn't approved yet. Approve the order or mark it as paid first. |
| Cancelled or Refunded | Cannot add — you can't ship a cancelled or refunded order. |
| Delivered | Cannot add — you can't add a shipment to an already-delivered order. |
| Approved / Preparing / Shipped | Can be added. |
Note: these particular warning messages currently appear in Turkish even in the English panel.
If an order won't ship, first take its payment (Mark as Paid) or Approve the order. See Order Operations (Status, Payment, Return, Cancellation, E-Invoice).
3. What happens when you click Ship Order?
- The order status automatically becomes Shipped (if it isn't Shipped already).
- The customer is sent an email with a tracking link.
- The new shipment appears in the card with the Created status.
4. What appears in the shipment card?
For every created shipment, the card shows:
- The carrier name and a status badge (e.g. In Transit).
- The tracking number.
- A Track button (see below).
- An Update status menu (see below).
- In small text: created date, parcel count, weight, desi, shipping cost, and barcode (if you entered them).
- Tracking History (the list of status changes).
Track
If the shipment has a tracking number and the carrier supports it, a Track button appears. Clicking it opens the carrier's own tracking page in a new tab.
The Track link appears for these carriers: Yurtiçi Kargo, Aras Kargo, MNG Kargo, PTT Kargo, HepsiJET. It does not appear for Süralp or Other; look up the tracking number on that carrier's own website.
5. Shipment statuses
Every shipment has a status (colored badge):
| Status | What does it mean? |
|---|---|
| Created | The shipment record was opened; new shipments start in this status. |
| Label Created | A shipment whose shipping label has been prepared. |
| In Transit | The shipment is on its way to the customer. |
| Delivered | It reached the customer. This is a final status (cannot be changed). |
| Undelivered | Delivery failed (couldn't be found at the address, etc.). |
| Cancelled | The shipment was cancelled. This is a final status (cannot be changed). |
| Error | A problem occurred with the shipment. |
6. Updating the shipment status
As the shipment travels, you advance its status by hand:
- Open the Update status menu in the shipment box.
- Select the new status. The menu lists only the statuses you can move to (see the table below).
- A "Shipment status updated" notification appears and a row is added to Tracking History.
When you choose Delivered or Cancelled, a confirmation window appears, because these cannot be undone:
- Delivered: "Mark shipment as delivered? This action cannot be undone. If the order has no other undelivered shipments, it will be marked as 'Delivered' and the customer will be notified."
- Cancelled: "Cancel this shipment? This action cannot be undone. If the order has no other active shipments, its status will revert to 'Preparing'."
Effect of a status update on the order
| Status you mark the shipment as | Effect on the order |
|---|---|
| Delivered | If the order has no other undelivered shipments, the order becomes Delivered and the customer is notified. |
| Cancelled | If the order is Shipped and there are no other active shipments, the order reverts to Preparing. |
| Other statuses | Only the shipment's status changes; the order status stays the same. |
7. Allowed status transitions
From each status you can move only to certain statuses. The Update status menu shows you only the valid options:
| Current status | Statuses you can move to |
|---|---|
| Created | In Transit · Delivered · Undelivered · Cancelled |
| Label Created | In Transit · Delivered · Undelivered · Cancelled |
| In Transit | Delivered · Undelivered · Cancelled |
| Undelivered | In Transit · Delivered · Cancelled |
| Delivered | — (final status, cannot be changed) |
| Cancelled | — (final status, cannot be changed) |
| Error | In Transit · Cancelled |
You cannot move a shipment to a status it is already in. A shipment that is Delivered or Cancelled can no longer be changed.
8. Tracking History
At the bottom of the shipment box is Tracking History. Every status change you make becomes a row here: a status badge, the date, and a description (if any). This lets you see where the shipment went from and to. If there is no history, this section does not appear.
Frequently asked questions
Where do I find the tracking number? When you hand the shipment to the carrier, the carrier gives you a tracking/shipment number. You enter it in the Tracking number field.
Does Treyza track the carrier automatically? No. You update the status yourself. The Track button only opens the carrier's tracking page; the shipment's real status is not automatically reflected into Treyza.
The order won't ship, why? Most likely its payment hasn't been approved yet. First Mark as Paid or Approve it (see Order Operations (Status, Payment, Return, Cancellation, E-Invoice)). You also can't add a shipment to a cancelled/refunded/delivered order.
I created the wrong shipment. You can move the shipment to Cancelled (it asks for confirmation). If the order is Shipped and there are no other active shipments, the order reverts to Preparing; then you can add the correct shipment.
I sent an order in two boxes. Do a separate Ship Order for each box; each becomes its own shipment in the card. The order becomes Delivered when all shipments are delivered.
Does the customer get tracking info? Yes. When you click Ship Order, the customer is sent an email with a tracking link.
