Stock Movements (History List)

The list where every stock in and out of your products is recorded automatically. Every movement — order, return, cancellation, manual adjustment,…

Where to find: Catalog → Stock Movements Who it's for: Anyone who wants to track when, why and by how much their stock changed In short: The list where every stock in and out of your products is recorded automatically. Every movement — order, return, cancellation, manual adjustment, warehouse transfer and import — appears here with its date and the person responsible.

What is it for?

Stock Movements is a history ledger that shows why the quantities in your warehouse changed. When a customer places an order, when a product is returned, or when you update stock by hand, the system automatically adds a row here.

This screen is view only; you do not add or delete rows from here. You simply find the answer to "when, by how much, why did this product's stock go up/down, and who did it?"

To actually change stock you don't use this page — you use the Warehouse Stocks section of the product form or the Update Stock drawer in the product list. (See Product List)

List table — columns

ColumnWhat does it show?
DateThe day and time the movement happened.
ProductThe name of the product whose stock changed.
VariantThe variant that changed (e.g. "Red / M"). If the product has no variant, appears.
WarehouseThe warehouse where the movement happened. If there is no warehouse info, appears.
ReasonThe reason for the movement (colored label). See the table below.
QuantityHow much the stock changed. An increase shows as green +, a decrease as red −.
ReferenceThe reference of the related record (e.g. order number). If none, .
UserThe email of the person who made the movement. For automatic (system) movements it says System.

Reading the "Quantity" column correctly

The Quantity column shows how much the stock changed with that movement — not the remaining total stock.

DisplayMeaning
+5 (green, up arrow)5 units were added to stock (in).
−3 (red, down arrow)3 units were removed from stock (out).

This screen does not have a separate "how many are left after the movement" column. To see a product's current total stock, look at the product list or the Warehouse Stocks section of the product form.

Reason (movement types)

Every movement has a reason. You recognize it from the colored label:

LabelWhen does it occur?Usual direction
OrderWhen an order is placed, stock is deducted.Out −
ReturnWhen a customer returns a product, stock is added back.In +
CancellationWhen an order is cancelled, the reserved stock is returned. In +
Reservation releaseWhen stock held (reserved) for an order is released, it comes back.In +
Manual adjustmentWhen you update stock by hand (Update Stock or the product form).Plus or minus
Warehouse transferWhen stock is moved from one warehouse to another.Plus or minus
ImportWhen stock changes through a bulk product/stock import.Plus or minus

You always see the exact direction from the color and sign (+/−) in the Quantity column.

Filters

Above the table there are two filters and a clear button:

FilterWhat does it do?
ReasonShows only movements of the type you select. Default: All reasons.
Date rangeShows only movements between the two dates you select.
Clear filtersThis button appears when a filter is active; clicking it resets all filters.

Empty screen

If there are no movements (or none match your filters), this message appears:

  • "No stock movements found."
  • "Movements appear here when an order, return or manual stock adjustment occurs."

Pagination (bottom of the table)

  • 20 movements are shown per page.
  • At the bottom there is a Page / Total Pages indicator and ‹ › (forward/back) arrows.
  • Pagination only appears when there is more than one page.

Frequently asked questions

Can I edit or delete a movement? No. This list is a history record and cannot be changed. If you entered a wrong quantity, make a new manual adjustment with the correct amount; both movements will appear in the history.

What are the movements that say "System"? For situations like orders and returns, stock changes automatically; since a person did not do it by hand, the User column says System.

Can I see only one product's movements? This list covers all products; you can narrow it with Date range and Reason. A single product's history can also be followed from that product's own screen.

Why can't I enter stock from here? Because this is a history screen. You enter stock from Warehouse Stocks in the product form or from the Update Stock drawer; every change you make is reflected here as a Manual adjustment.
