Low Stock (Alert List)

The screen that lists products and variants whose stock dropped to or below the threshold you set. You see the low ones here and enter new stock…

What is it for?

The Low Stock list answers "which of my products are about to run out?" on a single screen. The system automatically gathers every product and variant whose stock has fallen to (or below) its threshold. That way you notice before it runs out and place your order in time.

You are also sent a low stock notification for these products (see below). So you don't have to keep the list open all the time.


What is the low stock threshold? Where is it set?

The threshold is the limit at which you say "warn me when stock reaches this amount." For example, if you set the threshold to 5, the moment that product's stock drops to 5 or below it appears in this list.

You set the threshold on the product's own form:

  1. Open the product (Catalog → Products → click the product).
  2. Enter a number in the Low Stock Threshold field on the Inventory card.

Tip: You can also set the threshold at the variant level. If a variant has its own threshold, it takes priority; otherwise the product's threshold applies, and if that is missing too, the store-wide threshold is used. (For variants: Variants (Color, Size, etc.))

If you set no threshold for either the product or the variant, and there is no store-wide value either, the system uses 10 as a safe default.


List table — columns

ColumnWhat does it show?
ProductThe image and name of the product.
VariantThe low-stock variant (e.g. "Red / M"). If there is no variant, appears.
SKUThe stock code (SKU) of the product/variant. If none, appears.
Current StockThe current total stock. Shown as a colored badge (see below).
ThresholdThe threshold value in effect for that row.
(Action)The Update stock button at the end of the row.

Reading the "Current Stock" badge

BadgeMeaning
Amber number (e.g. 3)Stock is low but still available. At or below the threshold.
Red "Out of stock"Stock has dropped to 0 or below; there is nothing left to sell.

Amber-badged products are a "running low, place an order" warning; a red Out of stock means "urgent."


Updating stock

You can enter a product's stock directly from this screen:

  1. Click the Update stock button at the end of the relevant row.
  2. In the drawer that opens, update the stock quantity for the relevant warehouse.
  3. Once saved, the list refreshes; a product whose stock is now above the threshold drops off the list.

This drawer is the same as Update Stock in the product list. Detail: Product List


Are there filters?

No. This screen has no search box or filters; the list already contains only low-stock products. The goal is to focus your attention directly on the products you need to deal with.


Empty screen

If you have no low-stock products, this message appears:

  • "No low stock products."
  • "All your products are above their threshold."

This is good news: none of your products are at a critical level.


Pagination (bottom of the table)

  • 20 products are shown per page.
  • At the bottom there is a Page / Total Pages indicator and ‹ › (forward/back) arrows.
  • Pagination only appears when there is more than one page.

Low stock notifications

The moment a product's stock drops to or below the threshold, an automatic low stock notification is sent to you; if stock reaches 0, an out of stock notification is also sent. So you stay informed even without opening this list.

Notifications for the same product are not sent over and over in a short period; the process resets once stock rises above the threshold and falls below it again.


Frequently asked questions

Why is a product still on the list even though it passed the threshold? The list reflects the state at the moment you open the screen. After you update stock, the list refreshes; if the product is above the threshold it drops off automatically.

What happens if I set the threshold to 0? The product only appears on the list when its stock drops to 0 or below (that is, when it is truly out). If you want an early warning, keep the threshold above 0.

Is a product marked "Out of stock" still being sold? If the product's Continue selling when out of stock setting is on, selling continues even when stock runs out; if it is off, the product is closed to sale. This setting is on the Inventory card of the product form.

Should I enter stock from here or from the product form? Both give the same result. Update stock here is the quick way; if you are going to edit several fields at once, prefer the product form.
