Page structure
From top to bottom:
- Header + action buttons (Approve / Reject, or Issue Refund)
- (If any) a No linked order warning or a Rejection Reason card

1. Header and status
At the top of the page is the summary of the request:
- Return No (RMA number) and Order No
- Type: Return or Exchange
- Status badge
- Request date
- A View Order button to jump to the related order (if the request is linked to one)
Return statuses
The old simple "Pending/Approved" model has changed. A request is now in one of these statuses:

Which button appears when?
The action buttons change by the request's status:

2. Approving the request (Approve)
- Click the Approve button. The Approve Return Request window opens.
- Optionally check the two options:
- Restore product stock: Adds the returned products back into stock. (Shown only if stock was deducted for the order and hasn't already been restored.)
- Issue a refund: Refunds the money at the same time as approving. (Selectable only if there is an online payment; see section 4.)
- If you check Issue a refund, the refund type options appear below it (Full Refund / By Amount / By Items — section 4).
- Finish with Confirm.
Result notifications:
- If you only approved: "Return request approved."
- If you approved + issued a refund: "Return approved and refund issued."
- If the approval succeeded but the refund failed: "Approval completed but the refund failed: ..." (In this case the request becomes Approved; you can retry the refund later with Issue Refund.)
Approving does not necessarily send money. You can issue the refund together in the approve window, or separately afterward.
3. Rejecting the request (Reject)
- Click the Reject button. The Reject Return Request window opens.
- Optionally write a Rejection Reason (optional). This note is saved to the request.
- Confirm with Reject. A "Return request rejected" notification appears; the status becomes Rejected.
When a request is rejected, the Rejection Reason you wrote is shown in a red-bordered Rejection Reason card on the page.
Rejecting closes the request. There is no "bring it back to Pending" like in the old version.
4. Issuing a refund
You can issue a refund in two places:
- In the Approve window by checking the Issue a refund box (together with approving), or
- While the request is Approved, with the Issue Refund button at the top (afterward).
In both cases you choose a refund type:

| Full Refund | Refunds the entire remaining refundable amount. |
| By Amount | Refunds the amount you type (cannot exceed the remaining refundable amount). |
| By Items | You pick how many of each product to refund; the system computes the amount and shows it as Estimated refund. Each item shows the refundable quantity, like Remaining: 1/2. |
The window shows something like Remaining refundable: 250.00 TL. When issuing a refund, the Restore product stock checkbox is also here (when applicable).
If successful, a "Refund completed" notification appears; the refund is added to the Refund History card.
When can a refund not be issued?
An automatic refund is possible only when the order was paid through a payment provider (by card). In these cases the button/box is disabled or you see a warning:
- If the order has no provider payment (e.g. bank transfer/cash): "This order has no provider payment; automatic refund is unavailable."
- If the request couldn't be linked to an order: "This request could not be linked to an order; automatic refund is unavailable."
In these cases you refund the money to the customer manually (bank transfer). See the Customer Information card below for the customer's IBAN. For an order-level refund, also see Order Operations (Status, Payment, Return, Cancellation, E-Invoice) → "Return".
5. Customer Information card
- Full Name
- Phone (if none, "—")
- IBAN — if you're going to refund by bank transfer, you copy it from here.
- Order Date — the date of the original order in which the product was bought.
Tip: If you're going to refund by bank transfer, get the customer's IBAN from here.
6. Returned Products card
- The title says how many products there are (e.g. "Returned Products (2)").
- Each product is listed as a row: product name, its variant if any (e.g. color/size), and the quantity (×2).
- If there are no products: "No product information found."
Note: This card does not show price. For price and the full order breakdown, go to the related order with View Order.
7. Return Reason and Description card
Appears if the customer wrote a reason or description:
- Reason: A short reason (e.g. "Size didn't fit").
- Detailed Description: The customer's longer explanation.
If the customer didn't write anything, this card does not appear.
8. Refund History card
If you issued a refund for this request, each refund becomes a row here:
- The amount and the date
- A status badge: COMPLETED, FAILED, or a pending status.
If no refund was issued, this card does not appear.
9. Back to list
The Back to list button at the bottom of the page takes you back to the return list.
Typical usage flow
- Go into a request from the list with View.
- Read the Reason / Description and the products; if needed, review the order with View Order.
- If you find it appropriate, click Approve. To finish the return right away, also check Restore product stock and Issue a refund.
- If you don't find it appropriate, click Reject and optionally write a Rejection Reason.
- If you'll refund later, use the Issue Refund button while the request is Approved. If there is no online payment, refund by bank transfer using the IBAN.
Frequently asked questions
I clicked "Approve", did the money go to the customer? Only if you checked the Issue a refund box. If you didn't, the request was just approved; you can refund later with Issue Refund.
Can I write a rejection reason? Yes. In the Reject window you can enter an optional Rejection Reason; it then appears in the Rejection Reason card on the page.
Why is the Issue Refund button / box disabled? The order wasn't paid online (by card, through a provider), or the request couldn't be linked to an order. In that case refund the money manually by bank transfer (the customer's IBAN is on the card).
I approved but it said the refund "failed". The approval is still valid (the request becomes Approved). Retry the refund with Issue Refund; if it keeps failing, refund by bank transfer.
Is stock restored automatically? Only if you check the Restore product stock box are the returned products added back to stock. If you don't check it, stock doesn't change.
I can't see the products' price. This page doesn't show price; for the full breakdown, go to the related order with View Order.
